Child certificates

On this page, you can read more about child certificates and who is responsible for processing them.

Child certificates must be obtained for employees who are to perform tasks or conduct research involving direct contact with children under the age of 15, cf. the Child Certificate Act. The certificate must be obtained upon employment or before work commences.

A child protection certificate is not required if the employment/work does not involve contact with children under the age of 15.

A child certificate with a note (or a stain on the certificate) contains information about cases where a conviction has been handed down for violation of a number of provisions of the Criminal Code concerning sexual offences against children and certain violations of terrorism legislation.

A child certificate without a note (or a blank certificate) means that the person to whom the certificate relates has no convictions for sexual offences or terrorist activities.

How to obtain the certificate

The areas themselves must inform the person concerned that a child certificate must be obtained in accordance with the relevant rules.

A child certificate can be obtained digitally from the Danish National Police. The areas must order the certificate themselves via the police website.  In order to order a child certificate digitally, an employee signature or a company MitID and access to the area's digital mailbox must be used. The area must also have the name and personal identification number of the person(s) for whom a child certificate is to be ordered.

In order to obtain a child certificate, the consent of the person concerned is also required. Once the certificate has been ordered, a message will be sent by digital mail to the person being searched for, requesting their consent, which they can confirm or decline within 14 days. If the person for whom the certificate is requested has not responded to the request within the 14-day deadline, Aalborg University will automatically receive a refusal.

Journalisation in WZ

The child certificate itself must not be journalised in the personnel file in WZ. Instead, the departments must archive a note on the case with a blank child certificate. A template for the note can be found here.

Once the note has been archived, the certificate itself must be deleted.
